Name the airport in the first message
Specify Istanbul Airport or Sabiha Gökçen, the flight date and flight number. For international arrivals, agree on the local date and time. Include the hotel address as well as its name to avoid confusing properties with similar names. The initial enquiry only needs basic transport information, not identity documents or sensitive meeting details.
Separate landing time from meeting time
Landing, collecting luggage and leaving the terminal are different moments. Agree where the chauffeur will wait, who the guest should contact and how delays will be communicated. Ask when waiting time starts and what happens when the included period is exceeded. If you expect flight monitoring, confirm that it forms part of the agreed service.
Two ways to include a hotel stop and meeting
| Programme | Decision to confirm |
|---|---|
| Direct to a meeting | Luggage remaining in the vehicle and waiting during the meeting |
| Hotel, then meeting | Vehicle waiting during the hotel stop or a separate pickup |
| Next stop across the Bosphorus | Route, crossing charges and a buffer for variable traffic |
Choose the vehicle around passengers and luggage
A sedan and a VIP van address different cabin needs. Mention large suitcases, child seats or mobility assistance in advance. Do not infer usable space in an armored conversion from a standard model brochure. Confirm capacity for the actual assigned vehicle and avoid relying on a fixed journey time for a critical appointment.
Your final checklist
- Airport, flight and local date/time
- Exact hotel and meeting addresses
- Meeting point and one contact person
- Passengers, luggage and any armor requirement
- Waiting start and extra-stop inclusions
This guide helps you prepare an enquiry; actual vehicle availability and booking terms are agreed in the written offer.
